Principles: Sentomus is committed to protecting the privacy of its users. This policy explains what personal data we collect, how we use it, and what rights you have. The survey itself is completely anonymous — no personal data of respondents is ever collected.

Introduction & principles

Sento Group BV (“Sento”, “we”, “us”) operates the Sentomus platform (“the Website”). This Privacy Policy describes how we collect, use and protect personal data in connection with the Sentomus museum visitor research service. Sento complies with the General Data Protection Regulation (GDPR) and applicable Belgian data protection legislation.

1. Personal data collected

Sento collects the following categories of personal data:

Contact data of museum representatives: first name, last name, and professional e-mail address. These are provided voluntarily at registration or when requesting information.
Usage data: log data, IP addresses, and browser information collected automatically when you visit the Website, for security and analytical purposes.
Communication data: content of e-mails or messages sent to Sento.

At no point are personal data of survey respondents collected. The survey is completely anonymous.

2. Use of personal data

The personal data collected are used exclusively for:

Managing the contractual relationship with the museum (registration, invoicing, support);
Communicating about the study, platform updates, and helpdesk requests;
Improving the Website and services;
Complying with legal obligations.

We do not use personal data for marketing purposes or automated decision-making. We do not sell personal data to third parties.

3. Sharing of personal data

Personal data are not shared with third parties, except in the following cases:

Processors (e.g. hosting providers, survey platform) who process data on our behalf under a data processing agreement;
When required by law or by order of a competent authority.

All processors are contractually bound to GDPR-compliant data processing. Data are not transferred outside the European Economic Area without adequate safeguards.

4. Your rights

Under the GDPR, you have the following rights with respect to your personal data:

Right of access — you may request an overview of the data we hold about you;
Right to rectification — you may ask us to correct inaccurate data;
Right to erasure — you may ask us to delete your data, subject to legal retention obligations;
Right to restriction of processing;
Right to data portability;
Right to object to processing.

5. Security

Sento implements appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse. These include access control, encrypted data transmission (HTTPS), and regular security reviews. In the event of a personal data breach that poses a risk to the rights and freedoms of individuals, Sento will notify the competent supervisory authority within 72 hours and, where required, the individuals concerned.

6. Cookies

The Website uses cookies to remember your preferences, ensure correct functioning, and analyse usage. Cookies are small text files placed on your device. 7. Data from respondents

During the Sentomus study, individuals give their opinion through the surveys that are at the heart of the research. At no time is any personal data requested from respondents that could be traced back to their identity. This guarantees that respondents can give their opinion completely anonymously, and that the method of the research is in line with GDPR. It is not permitted for participating museums (Customers) to collect personal data from respondents through their own added questions.

8. Alterations

Sento may update this Privacy Policy at any time. Changes will be published on the Website with a revised date. We encourage you to review this policy regularly.
